1 Software Features
When selecting facility maintenance software, look for comprehensive features that facilitate preventive maintenance scheduling and tracking. A robust solution should offer calendar-based scheduling, automated reminders, and the ability to assign tasks to specific team members. It's also beneficial if the software provides a centralized database for all maintenance records, allowing for quick access to historical data and the ability to analyze trends over time.

When selecting maintenance management software, every feature counts. I opt for a solution that not only offers calendar-based scheduling but also sends automatic reminders and allows for specific task assignments to team members. A key advantage is a central database that enables quick access to all maintenance records. This facilitates trend analysis and historical data review, significantly boosting our efficiency. 🚀📊

In my experience, a CMMS system that offers calendar based scheduling and meter based scheduling fits most needs very well. The best softwares will automate PM tasks for you and give you a “review list” of PM’s coming out within a timeframe and allows you to generate them. This offers the ability not only review what is coming to the team, but also to tailor it to your needs at that time.

2 User Experience
The user experience of facility maintenance software is crucial. You want a platform that is intuitive and easy to navigate, minimizing the learning curve for your team. The interface should be clean and user-friendly, enabling quick data entry and access to various maintenance tasks. Moreover, the software should be accessible on multiple devices, including smartphones and tablets, to allow for on-the-go updates and communication.

User experience is at the core of facility maintenance software. An intuitive platform that is easy to navigate significantly reduces my team's learning curve. We prefer a clean, user-friendly interface that allows for quick data entry and swift access to maintenance tasks. Additionally, the software’s accessibility on various devices, including smartphones and tablets, is crucial for staying updated and communicating effectively on the go. 📱💻

If a CMMS system is not user friendly, you can forget about it being an effective tool for the team. User friendliness is a key factor in creating team buy in to the program. Finding a program that is not only easy to use, but also has all the customization you need can be a challenge. That’s why I recommend you reach out to the software company before committing.

3 Integration Capabilities
Integration capabilities can significantly enhance the functionality of facility maintenance software. The ability to seamlessly connect with other systems, such as building management systems (BMS), inventory management, and financial software, can help streamline processes and ensure data consistency. This interconnectedness allows for a more holistic approach to facility management and can lead to more informed decision-making.

Finding a system that captures inventory, work orders, purchasing information, and preventative maintenance schedules is a critical step to become a world class facility. More importantly, do these features offer all that you may need and does it allow future expansion. A holistic approach allows managers to have a better grasp on operations and how to optimize their processes.

4 Customization Options
Every facility has unique needs, so customization options in maintenance software are valuable. The ability to tailor the software to match your specific processes and requirements can improve efficiency and user adoption. Look for software that lets you customize forms, reports, and alerts. This flexibility ensures that the software works for you, not the other way around.

5 Support and Training
Consider the level of support and training provided by the software vendor. Good customer support can make a significant difference in how effectively you can implement and use the software. Training resources, such as online tutorials, webinars, or in-person training sessions, are also beneficial in helping your team make the most out of the software's capabilities.

Good customer service makes or breaks the experience. Many companies promise around the clock service, but at what cost? Finding a software that is backed by a dedicated support team that can remote in to solve problems or even provide training will save heartache down the line.

6 Cost Considerations
Finally, cost considerations are always important when choosing facility maintenance software. You should weigh the features and benefits against the price to ensure it delivers value for money. Keep in mind that while initial costs may be a deciding factor, the long-term savings from efficient preventive maintenance could justify a higher upfront investment.
